All cancellations need to be done in writing. Kindly send us a message as soon as possible if you need to cancel your booking. Please send your cancellation to info@westtours.is

 

Individual Bookings 

The following cancellation charges will apply (calculated per person), calculated from the date a that you notify West Tours of your cancellation:

10% of tour price if cancelled formally with more than one week (7 days) prior departure.

30% of tour price if cancelled formally with one week (7 days) or less prior departure.

100% of tour price if cancelled formally within 2 days (48 hours) prior to departure.

The tour’s date may be changed with a month’s notice. In cases where West Tours changes the date of a tour and you are unable to travel on the new date, a full refund will be issued. 

West Tours does not provide any travel insurance for their customers or their luggage. We highly reccomend that you purhcase travel insurance when travelling anywhere abroad. In the event of illness or other unforseen circumstances that prevent you from travelling we advise you to contact your travel insurance company or credit card issuer which often provides insurance coverage when the tour is booked with said credit card. West Tours cannot issue refunds in cases like this. 

In the event of changes to flights (domestic or international) or boat tours that may prevent the customer to reach his/her booked tour with West Tours, the customer is responsible for any additional costs incurred, e.g., accommodation, food, and another mode of transportation. West Tours will not issue refunds for boat trips to Hornstrandir if passengers are delayed on domestic flights. 

While every effort is made to get passengers back from Hornstrandir to Isafjordur, weather and other unforseen circumstances can affect the advertised return time. Passengers are advised to account for some delays if they are getting a domestic return flight to Reykjavik. West Tours cannot be held accountable for missed return flights due to delayed sailing times. Kindly contact us for guidance before you book your return flight if you are unsure.

 

Exceptions to the Above Booking Terms – Cruise Passengers

West Tours offers a full refund for cruise passengers who cannot make it on a tour if the cruise ships itinerary changes with short notice due to unforeseen circumstances such as weather or other operational issues which are not in control of the passenger. If the captain of the cruise ship cancels the port visit in Isafjordur then we will always refund you 100%. West Tours prides itself on always returning cruise passengers back from tours on the correct time. We will never sell you a tour if we are not 100% sure that you will back before the cruise lines “all aboard” time. 

 

Minimum Passengers on a Tour

West Tours reserves the right to cancel a trip if bookings have not reached the minimum number of passengers required to operate that tour. Guests that have booked already will be notified in writing as soon as possible and will receive a full refund.

 

Weather and Conditions

West Tours reserves the right to cancel, postpone or change the schedule of every tour due to weather. Weather in Iceland can be unpredictable and change with short notice. Your safety is our highest priority. For boat trips the captains of the boats have the final decision if the itinerary will take place. For hiking tours and other activities, your guide will have the final decsion if the tour will go head or continue if weather conditions worsen.

 

General Code of Conduct and Preperation

A passenger in a tour is obliged to obey all instructions from West Tours’ tour guide and respect Icelandic regulations and laws, as he/she is responsible for all damage he/she might cause. West Tours reserves the right to refuse sales or cancel bookings for customers who do not have the appropirate gear and clothing for hiking trips. 

 

Group Bookings – More than 20 persons:

The confirmation fee of 25% will be charged upon booking, which is non-refundable. The final payment needs to be settled no less than 30 days prior to departure.

Cancellation terms can be different than those mentioned above, e.g., for conferences or larger groups.
